AI Practice Assistant for a Specialized Railroad Defense Law Firm
A personal AI assistant that operates as the firm's practice layer, connecting matter management, medical records, legal research, and client communications into a single reasoning surface. Available from any device, with human review kept in control of every outbound legal action.

Background
A boutique railroad defense law firm in Indiana operates in a highly specialized niche. The lead attorney has spent more than two decades defending railroads and railroad-adjacent businesses in employee injury litigation, work that demands familiarity with a body of law most general practitioners never touch.
The firm wanted to consolidate AI, case management, medical record processing, and legal research into one operating layer that the attorney and her operations partner could use from anywhere. Mechanical practice work needed to stop blocking the substantive work of defending cases.
Smokeball, Microsoft 365, a third-party medical records service, and the state bar research portal were all working independently. Nothing carried context between them.
Challenge
Specialty litigation creates pressure points that generic AI assistants do not solve. The firm needed persistent matter memory, validated legal research, deep practice-system access, reliable mobile availability, and attorney control over every outbound action.
Multiple disconnected systems
Practice data lived in Smokeball, correspondence in Outlook, medical summaries in a separate service, and legal research in another portal. Every cross-system task required manual switching and repeated context.
No memory across sessions
The desktop AI started from zero in every conversation. The attorney and operations partner repeatedly explained case history, firm preferences, and matter context, with no dependable mobile access.
Citation validation was manual
A specialized defense practice cannot risk citing a case that has been overturned or negatively treated. Standard AI tools lacked access to citator networks, so every citation required manual verification.
Redundant tool spend
The firm paid several hundred dollars each month for medical record summaries even though the source records already lived inside the practice management system.
High-value matters, small team
Time spent retrieving files, locating forms, selecting templates, and navigating research tools reduced the time available for substantive defense work.
Solution
We built a personal AI assistant that operates as the firm's practice operating layer. It handles case data, drafts client correspondence, retrieves and analyzes documents, processes medical records, and runs validated legal research from a single reasoning surface on desktop and mobile.
The assistant runs on cloud infrastructure with persistent memory, so firm knowledge, matter context, and operating preferences carry across sessions. The attorney and operations partner work with the same assistant, creating one institutional memory that improves with use.
Agent Setup
Persistent infrastructure and full practice-system access
- Hermes agent framework deployed on cloud infrastructure
- Persistent memory across desktop and mobile sessions
- Telegram access for quick and after-hours prompts
- Security hardening, secrets management, audit trails, backup, and rollback
- Smokeball API access across matters, contacts, documents, tasks, billing, memos, activity codes, and search
Workflow Automation and Tool Expansion
Communication, documents, knowledge, and medical record processing
- Email drafting and routing with attorney approval before send
- Calendar deadline tracking and portfolio-wide reminders
- Document ingestion, historical retrieval, summarization, and generation
- Internal knowledge base for procedures, templates, and best practices
- Medical record summarization migration from the third-party service
Westlaw Research Integration
Validated specialty legal research from the same reasoning surface
- Westlaw access through the official Thomson Reuters MCP connector
- KeyCite validation for cited cases
- Unpublished case access
- Automatic negative-treatment detection
- State bar research portal access through the Claude browser extension
Human-in-the-loop by design
Every outbound client communication is drafted, packaged, and staged. Nothing is sent without attorney approval. Citation validation runs automatically, but the result is surfaced to the attorney for review. The assistant multiplies leverage without becoming the legal decision-maker.
Technical Architecture
The stack is deliberately compact: one agent framework, one practice system, one productivity suite, one research layer, and explicit approval controls.
| Component | Technology | Responsibility |
|---|---|---|
| Agent Layer | Claude Desktop and Hermes | Reasoning, drafting, persistent memory, skills, and cross-device context |
| Practice System | Smokeball API | Matters, contacts, documents, calendar, tasks, memos, billing data, and search |
| Productivity Suite | Microsoft 365 | Outlook email drafting, routing, calendar deadlines, and reminders |
| Legal Research | Westlaw MCP and state bar portal | Specialty research, KeyCite validation, unpublished cases, and negative treatment detection |
| Chat Interfaces | Claude Desktop and Telegram | Deep desktop work and mobile access with the same persistent memory |
| Infrastructure | Dedicated cloud VPS | 24/7 availability, real-time backup, security controls, and rollback |
Impact
The engagement is being delivered in phases, and the compounding effect is already visible. The mechanical workload moves to the assistant while the attorney keeps specialized judgment, litigation strategy, and client relationships.
One reasoning surface across the practice
Case data, correspondence, documents, medical records, and legal research are accessible through one assistant. The tool-switching tax is removed.
Parallel task execution
The attorney can run the assistant across multiple matters at the same time instead of waiting for one sequential workflow to finish.
Historical institutional recall
The assistant searched years of Smokeball history and surfaced the correct template from a matter closed a decade earlier, without the attorney remembering where it lived.
Proactive quality checks
The assistant flags older form versions, offers to check for current updates, and surfaces improvements beyond the original request.
Redundant tool cost leaving the stack
Medical record summarization is moving into the assistant, using source data already stored in Smokeball and eliminating a recurring third-party subscription.
Mobile access to the firm's brain
Phone prompts reach the same assistant and the same memory as desktop sessions. The practice is no longer tied to a single machine.

Implementation Roadmap
Completed
Cloud agent framework, persistent memory, Smokeball API integration across core scopes, Microsoft 365, medical records connection, state bar research access, Telegram mobile access, and 30 hours of one-on-one training.
In progress
Full Smokeball workflow adoption, medical record summarization migration, and Westlaw MCP integration for validated research.
Next
Deeper email and calendar automation, an expanded internal knowledge base, and continued firm-specific skill tuning.
Why This Works for a Specialty Litigation Practice
One reasoning surface, many tools
Smokeball stays the system of record, Outlook stays the communication surface, and Westlaw stays the research authority. The assistant moves across them so the attorney does not have to.
Persistent memory changes the relationship
Durable memory of matters, preferences, templates, and firm procedures allows the assistant to compound in value instead of restarting from zero.
Human judgment stays human
Every outbound client communication passes through attorney review. Every cited case is validated. The assistant handles volume while the attorney handles the calls that matter.
The result is a personal AI assistant that operates like a well-trained associate: persistent across matters, capable of working in parallel, connected to the firm's authoritative systems, and available on desktop or phone without displacing attorney judgment.
