Background
A solo residential real estate attorney in the Chicagoland area runs a high-volume practice built on flat-fee closings. After more than 20 years in the field, the operating model is repetition at scale: the same two contract types, buyer and seller matter flows, and key dates recalculated file after file. Only names, addresses, purchase prices, and deadlines change.
The goal was direct: automate the firm as close to 100% as possible, so mechanical work stops consuming attorney time and only judgment calls, client conversations, and negotiation remain on the desk.
The firm already runs on Smokeball and Microsoft 365. The assistant needed to live inside those environments rather than create a third place to check.
Challenge
Solo practice at this volume creates pressure points that generic automation does not solve. The system needed deadline awareness, template-driven drafting, multi-system access, strict approval controls, and infrastructure that a solo attorney could operate without an internal IT team.
Every matter runs on a deadline chain
The closing date drives mortgage contingencies, attorney review deadlines, condo review windows, title clearance, and downstream client communication. Those dates must stay synchronized across the matter file and calendar.
Repetitive drafting dominates the workload
Attorney review letters, inspection responses, key dates emails, closing packages, and settlement statement referrals all use standard templates with matter-specific variables.
Every task requires multi-system context
A single intake can require reading Outlook, extracting contract data, creating a Smokeball matter, generating documents, updating SharePoint, and placing deadlines on the calendar.
Legal communications require approval
The assistant must draft, package, and stage sensitive correspondence, but stop for attorney review before anything legal or financial leaves the firm.
Solution
We built a personal AI assistant, internally named Elizabeth, as the firm's dedicated legal operations layer. She handles matter intake, drafting, deadline tracking, and inter-system coordination, then returns anything sensitive to the attorney for approval before it leaves the firm.
The assistant runs on cloud infrastructure with Smokeball for matter data and templates, Microsoft 365 for email, calendar, and SharePoint, and Telegram as the daily chat interface. The attorney can prompt the assistant from a phone between client calls and family commitments.

Human-in-the-loop by design
Every outbound legal or financial communication is drafted, packaged, and staged, never sent without attorney approval. Attorney review, condo review, financing contingency, and closing dates are explicit matter fields. Sensitive correspondence stays in draft-only mode until the workflow has been proven in production.

Impact
Delivery is phased so the hardened foundation and legal knowledge carry through every workflow that follows. The mechanical workload moves to the assistant while the attorney keeps the work that requires judgment, negotiation, and client relationships.

The assistant can read a realtor email, extract contract data, open the matter in Smokeball, populate parties and property details, and stage the key dates email.
Communications drafting online
Attorney review letters, key dates emails, closing packages, and referral emails are generated from approved templates and held for attorney approval.

Closing dates, attorney review dates, condo review windows, and financing contingency deadlines are explicit events tied to each matter.
